Hedley Hope Parish Council

This Privacy Policy sets out how the Council collects, uses, stores and protects your personal data. It also sets out information about your rights in relation to your personal data.

Hedleyhope Parish Council is the Data Controller and Data Processor for personal data about individuals.

1. Your personal data:

Personal data is the information you provide when contacting us by telephone, email,in writing or submit the contact form on the “Report an Issue” page on our website. The information you give us may include your name, address, email address and phone number.

2. How your data is used:

The information you provide will be processed and stored so that it is possible to contact you and respond to your correspondence, provide information and send invoices and receipts relating to service provision, e.g. a village hall booking.

3. Legal basis for processing your data:

We process your personal information lawfully and fairly in accordance with data protection laws. We may process your personal information where we:

  • have your consent
  • are providing a service to you
  • are complying with a legal obligation to do so.

We do not sell or pass personal data to third parties for commercial purposes.

4. Information Security:

The Council has a duty of care to ensure the security of personal data. We make sure that your information is protected from unauthorised access, loss, manipulation, falsification, destruction or unauthorised disclosure. This is done through appropriate technical measures and relevant policies.

5. Retention Period:

We will only keep your personal data within the timeframes allowed by law and for so long as is necessary to comply with our legal obligations, after which it will be deleted or shredded.

6. Your rights under the UK GDPR:

i) Access to information:

You have the right to request access to the information we hold on you (a subject access request) and are entitled to:

  • ask for confirmation that your data is being processed
  • ask what information the Council holds about you and why, including details on
    where the data came from, how it’s being used, and who it’s shared with
  • ask for a copy of your personal information
  • be informed how to keep it up-to-date
  • be informed how the Council is meeting its data protection obligations to ensure
    that your data is being processed lawfully.

You can do this by contacting us in writing or by email. We will respond to subject access requests within one calendar month, in line with legal requirements. Anyone making a subject access request to will be required to provide proof of their identify before we can disclose any information.

ii) Information Correction:

If you believe that the information we have about you is incorrect, incomplete or out-of-date, you may contact us so that we can update it and keep your data accurate.

iii) Information Deletion:

You have the right to ask us to delete personal information about you where:

  • you consider that we no longer require the information for the purposes for which
    it was obtained
  • we are using that information with your consent and that consent has been
    withdrawn
  • you have validly objected to our use of your personal information
  • our use of your personal information is contrary to law or our other legal
    obligations

If you require the Council to delete the information about you, please contact us.

iv) Right to Object:

If you believe that your data is not being processed for the purpose it has been collected, you can object and should contact us. We will cease processing your data unless it is required for legal claims.

v) Right to Restrict Processing:

In some cases, individuals may ask us to restrict how we use their personal information. This right might apply, for example, where we are checking the accuracy of personal information that we hold or assessing the validity of any objection made by an individual to our use of their information. Data that is subject to restriction will be clearly marked and stored securely, and will not be processed unless the restriction is lifted.

vi) Withdrawing Consent:

Where we use personal information with individual consent, the individual may withdraw that consent at any time and we will stop using that personal information for the purpose(s) for which consent was given. If you wish to exercise any of these rights then please contact us.

vii) Rights Related to Automated Decision Making and Profiling: 

The Council does not use automated decision making or profiling of personal data.

7. Changes to our Privacy Policy:

This privacy policy is kept under regular review and any updates will be placed on this website.

8. Complaints:

We seek to resolve directly all complaints about how we handle personal information. If you have a complaint regarding the way your personal data has been processed you should contact the Parish Clerk.
